What Should Your Dental Clinic's Auto Reply Say? (Philippines)

It's 10:40pm. A mother holds an ice pack to her son's cheek and types to your page with her free hand: "Hi po, open po ba kayo bukas? Magkano po ang bunot?" Your page replies in a second. "Thank you for your message. We will get back to you as soon as possible." She reads it, then sends the same question to the next clinic on the map. Your auto reply did its job. What an auto reply can do, and where it stops

Facebook lets your page send an instant reply to someone's first message, and an away message while your page is set to away. You write each one once, and it goes out on its own after that. Keep yours. A patient who hears nothing all night assumes nobody's there, and a clear reply at least tells her when to expect you.

This goes out when a new message arrives while your team is with patients.

English: Hi, thanks for messaging [Clinic Name]. We're with patients right now, and one of us will reply by [time]. If you'd like to book, you can pick a slot here: [booking link]. If you're in pain, say so and we'll read your message first.

Taglish: Hi po, salamat sa pag-message sa [Clinic Name]. May pasyente pa po kami ngayon, pero magre-reply po kami by [time]. Kung gusto n'yo na pong mag-book, pumili lang po ng slot dito: [booking link]. Kung masakit po ang ngipin n'yo, sabihin n'yo lang po para mauna naming basahin.

Away message, after hours and on closed days

Use this one for the hours your clinic is closed. It's the message that mother should have received.

English: Hi, thanks for messaging [Clinic Name]. We're closed right now. We open again on [day] at [time], and one of us will reply then. You can book your visit now: [booking link]. If this is an emergency, [your dentist's instructions].

Taglish: Hi po, salamat sa pag-message sa [Clinic Name]. Sarado na po kami ngayon. Babalik po kami sa [day], [time], at sasagutin po namin agad ang message n'yo. Puwede na po kayong mag-book ngayon dito: [booking link]. Kung emergency po, [your dentist's instructions].

Holiday closure

Change your away message before every long break. One that says you open Monday, on a holiday Monday, sends patients to a locked door.

English: Hi, thanks for messaging [Clinic Name]. We're closed for [holiday] and back on [date] at [time]. You can already book a visit for when we reopen: [booking link].

Taglish: Hi po, salamat sa pag-message sa [Clinic Name]. Sarado po kami para sa [holiday], at open na po ulit kami sa [date], [time]. Puwede na po kayong mag-book para sa pagbalik namin: [booking link].

The auto reply nobody updates

Someone writes the auto reply once, and after that nobody owns it. Your hours change, a dentist goes on leave, Undas comes around, and the message keeps giving patients last year's answers.
