How to Schedule Multiple Dentists at One Clinic (Philippines)

It's 10am on a Tuesday and a patient is at your counter for her cleaning with your associate. Your associate comes in on Wednesdays and Saturdays. The booking happened on Messenger last Thursday night, typed by someone at home with no schedule in front of them. Now your assistant is saying sorry, offering a different dentist, and watching the patient work out whether she took half a day off work for nothing.

One appointment book stops working at the second dentist

A schedule built for one dentist answers one question: is 2pm free? Add an associate and the question becomes whether 2pm is free, and with whom. A paper book or a single shared calendar can't answer that cleanly. Either 2pm reads as taken for the whole clinic, and you turn away a patient your associate could have seen, or two names squeeze onto one line and nobody can tell whose patient is whose.

It gets worse away from the counter. Your assistant knows your associate's days because they work side by side. There's a sticky note by the phone, too. Whoever answers the clinic's Messenger at 9pm, the owner on the sofa or a staff member on the jeep home, can't see either one. So they guess, and a wrong guess about who is in on which day is how a patient ends up at your counter on a Tuesday.

Start with who is in, and when

Before you touch any software, write the list. Every dentist who sees patients, the days they're in, and the hours they keep on those days. Say your associate, Doc Ana, comes in Wednesdays and Saturdays from 10 to 5, and an orthodontist comes in on Saturday afternoons for adjustments. That list is the rule every booking has to follow, whether it starts at the counter, on the phone or in a message at midnight.

Let patients ask for a dentist by name

Patients follow dentists. Someone who liked her last cleaning with Doc Ana wants Doc Ana again, and she'll type it the way she talks: "Available po ba si Doc Ana this Saturday?"

When a clinic lists more than one dentist, Aria asks which one the patient prefers, or whether any dentist is fine. It matches the names patients use (Doc Ana, Dra. Reyes, or just a surname) to the right dentist and checks that dentist's days and open times before it offers anything. If Doc Ana isn't in on the day the patient wants, Aria says so and suggests another day with her, or a different dentist. It won't offer a time the dentist can't keep.

Your booking page does the same with a plain picker. A patient booking from your link chooses a dentist or Any dentist (Kahit sino, when the page is in Tagalog), and only that dentist's open times show up.

When any dentist will do

Plenty of patients don't mind which dentist they see. They mind whether Saturday at 10 is open. If the patient says any dentist, Aria offers every open time across all your dentists, and the visit goes to a dentist who's free at the time the patient picks.

This is where giving each dentist their own time pays off. A booking only holds its own dentist's time, so your 2pm cleaning doesn't stop your associate from seeing a different patient at 2pm. On a one-column book, that second patient hears "we're full at 2" and books somewhere else.

Clinic-wide closures still apply to everyone. Holidays, the lunch break and any block you set for the whole clinic close that time for every dentist at once.

Common questions

Can each dentist have different days and hours?

Yes. Tick the days each dentist is in and set their hours. A dentist with no days ticked follows the clinic's hours. Aria, your booking page and your front desk all book against the same settings.

What happens when a patient asks for a dentist who isn't in that day?

Aria tells the patient that dentist isn't in that day and suggests another day with the same dentist, or a different dentist. It only offers times the dentist can take.

Does one dentist's appointment block the other dentists?

No. A 2pm visit with one dentist leaves the other dentists' 2pm open. Holidays, lunch breaks and blocks you set for the whole clinic close the time for everyone.

What if we have more dentists than chairs?
